Vertex were hiring contract workers in 21 different markets across Europe, Middle East, LATAM and Australia. We audited their suppliers, workflow and process, prior to embarking on process redesign, billing simplification and consolidation, and renegotiation of terms with approved suppliers. We implemented a new Vendor Management System, provided payroll services and also unified timesheets, expense submission and approvals across all markets.
Implementation:
We worked with Vertex to determine and confirm the “in-scope” Temp Worker and Independent Contractor population and their respective suppliers. We validated the data and populated a new VMS for active assignments. We then embarked on an RFI process with 19 suppliers to deliver:
- Workflow and process redesign
- Simplified billing and consolidation
- Standardised supplier terms
- Reduced costs
Launch:
Launch involved the distribution of user guides and resources for VMS support and a 30-day window of high-touch support across all markets. We took responsibility for:
- Timesheet and expense submission
- International background screening policy
- 80% of direct sourcing for new requirements
- Billing and payment in GBP, EUR, NZD$, SEK
- Payroll data export to suppliers across markets
